Dear [Contact Name]:

Permissions Request with respect to Author: Title: ISBN:

We, the American National Corpus Consortium, wish to include a text sample of the above works (the “Works”) in the American National Corpus (the “Corpus”) to support education, research and technology development focusing on American English.  More than 25 international universities, publishers, and technology companies have joined forces to create the Corpus that will be distributed by the Linguistics Data Consortium on behalf of the American National Corpus Consortium.  Researchers around the world will use this resource for many years. If you control these rights for the legal term of copyright and are prepared to grant us the permission we seek, then please sign the Permission Form attached to this letter and return it to me.

The permission we seek is for gratis, non-exclusive use throughout the world for the duration of copyright in the English language:

·    a) to load and store a sample of the text (the “text sample”) electronically, encoded in such way or ways to make it compatible with other text samples in the Corpus,

·    b) to distribute the text sample as part of the Corpus on the terms specified in the Permission Form, and

·    c) to use and allow to be used the text sample as part of the Corpus for linguistic education and research and development of language products by the members of the Corpus consortium.

The terms and conditions under which we wish to include the text sample are as follows:

1.   A maximum of 50,000 words of each of the above Works will be stored on computer.

2.   If a Work is less than 50,000 words, 10% of the Work will be deleted before the text sample is stored on computer so as to ensure that no Work is captured in its entirety.

3.   The text sample will be linguistically processed and added as a component of the Corpus and may be stored on computers at the normal workplaces of the participant organizations.

The text sample, along with 2000-3000 other such samples, will be incorporated into the Corpus of 100 million words. The Corpus will be processed by computer to bring it into a common format and have various linguistic annotations added to it. This processed version of the Corpus will be distributed in electronic form only under one of the two forms of license agreements – Open and Restricted - to researchers who will use the data as a resource for education, research and technology development related to language and linguistics. These researchers may be working in academic, governmental or commercial organizations.

All such recipients of the Corpus will enter into a License Agreement, which will limit the uses that may be made of the Corpus. There are two types of License Agreements described in the attached Permission Form. We hope you will give us permission to distribute this text sample as part of the Open American National Corpus. However, we recognize that some rightsholders may prefer more restrictive terms. For those rightsholders we request permission to distribute their material under the Restricted American National Corpus. Please indicate the permissions you are granting in the attached Permission Form.

A register will be maintained of the names and addresses of those who receive a copy of the Corpus and who take responsibility for ensuring that it is used in accordance with the License Agreement. Upon your request, the register will be made reasonably available for your inspection.

We hope you will be able to grant us this permission and in so doing aid the development of an important national resource.  If you are not the rightsholder for one or more of the Works, we would appreciate your informing us of the rightsholders’ name and contact information.  All contributions will of course be suitably acknowledged.

Yours sincerely,

James Fiumara
